Abstract
The module aims to equip participants with the skills and knowledge necessary to define a report, state its functions and uses, identify its components, prepare a report, and understand its structure and format. A report is an exercise in persuasion, serving as a means to transmit detailed knowledge to those who need it. It is a structured written presentation that provides a response to a specific formal request, an account of something, or an answer to a problem. A report defines a subject or problem, gathers facts, and analyzes them to come to conclusions and make recommendations. The report writing process involves identifying the audience, defining the purpose, collecting ideas, selecting material, and structuring the ideas. Knowing the audience enables the writer to write more persuasively, understand their expectations, and organize the message to address their needs. The purpose of the report should be clearly defined, setting objectives and guiding the writing process. Reports can be categorized into two main types: research reports and 'information' only reports. Research reports aim to present a case, providing an overview of the aim, method applied, results, and conclusions. 'Information' only reports, on the other hand, provide updates, memos, and regular reports. A formal business report typically consists of several components, including a title page, acknowledgement, abstract/executive summary, table of contents, introduction, discussion/findings, conclusions, recommendations, appendices, references, bibliography, and index. The title page should include the company name and logo, title, reference number, author's name, subject and number, and date of submission. Reports must be persuasive, decisive, and action-oriented, presenting a clear and concise case to the reader. They should be well-structured, with a logical flow of ideas, and provide relevant information to support the main objective. By following the guidelines outlined in this module, participants will be able to prepare effective reports that meet the needs of their audience.
